Guidelines for Creating WhatsApp Templates

To ensure your WhatsApp message templates are approved, follow these straightforward rules:

  1. Template Name: Use only lowercase letters, numbers, and underscores. The name should reflect the message content.

For example, if you're creating a feedback request template, the name should be feedback_request rather than something random like abc123 or promo_template.

  1. Restricted Content: Avoid promoting items like drugs, weapons, or any restricted content. For further details, refer to WhatsApp's policy.

  2. Sensitive Information: Refrain from requesting personal or financial information in the template.

  3. Variable Formatting: Use {{variable}} to represent dynamic content and ensure clarity by providing sample values.

    Example:

    • {{customer_name}} = Alex

    • {{order_amount}} = 499 INR

    • {{business_name}} = BizMagnets

Once your template is created, submit it for approval. Approval decisions typically take up to 24 hours. Once reviewed, a tag will be added to your template indicating its status.

By adhering to these guidelines, you ensure a smooth approval process for your WhatsApp message templates.

Components of WhatsApp Templates

When creating WhatsApp message templates, it's important to understand their key components to ensure they are effective and compliant with WhatsApp's guidelines. Here’s a breakdown of these components:

You can either create a new WhatsApp template from scratch or edit template from the BizMagnets Template Library.

Create a New Template

  1. To create a template in BizMagnets, go to Settings and select WhatsApp Templates from the dropdown menu.

  2. Click on the "+ Create Template" option.

  1. Enter the name for the template, choose the category (Utility or Marketing), and select the language and then add the message header (optional).

The header can be text, an image, a video, a document, or none of the above.

  1. Type the message in the message body.

If certain information needs to be customized for different customers, you can incorporate variables to accommodate these changes. For instance, you can personalize the message by inserting a variable for the customer's name, email id or phone number.

  1. Type your template footer, which is optional. For example, 'Reply STOP to unsubscribe'.

  1. Buttons offer a user-friendly method for interacting with a message and performing specific actions. There are two types of buttons:

    • Call to Action: This type of button motivates users to take a particular action, like visiting a website or filling out a form.

    • Quick Reply: This button features customizable text that enables users to swiftly respond using preset choices, such as "Yes" or "No."

Note:

  • If you include more than three buttons, they might be displayed as a list to prevent message clutter. On web applications, a maximum of 10 buttons can be shown vertically.

  • You can add up to 3 CTA (Call-to-Action) buttons: 2 URL buttons and 1 phone button. If you opt for a Flow (WhatsApp Form), only 1 CTA button is allowed.

  • You can include up to 10 Quick Reply buttons.

  • CTA and Quick Reply buttons cannot be placed between sections, but you can swap their positions using the swap button.

  1. Click "Submit For Approval" after finalizing your template.

Edit a Template

  1. Go to Settings and select WhatsApp Templates from the dropdown menu. Under the My Template tab you will find all the templates you have created.

  2. Choose a template that fits your business needs. Click on "Use" to start editing the template components according to your requirements.

  3. Select the three dots icon as shown in the below screenshot for more options.

  1. Select the 'Edit' option.

  1. Make the necessary alterations in the template and click 'Submit for Approval'. This will send the template to META for verification.

A template that has been approved can only be used after a 15-minute waiting period. Ensure you wait at least 15 minutes before beginning to use the template.

Sync with WhatsApp to know the approval status

To monitor the approval status of your template from META, ensure that your WhatsApp is synced with BizMagnets. This will allow you to receive prompt updates on your template's approval and guide you on the next steps.

Test the WhatsApp Template

Once your WhatsApp template receives approval, it's important to test it to ensure it functions as intended. Testing helps verify that recipients view the template correctly and that it operates properly.

Please Note:

  1. You can test the template when it is in either the "recently approved" or "approved" state.

  2. If the template is recently approved, wait at least 15 minutes before testing. Attempting to test immediately after approval may result in a failure due to the template not being available yet. If this occurs, please wait 10-15 minutes before trying again.
